JOB SUMMARY: The Logistics Coordinator is an organized, strategic and highly-detailed oriented professional who is able to communicate and work seamlessly with vendors, staff and Melanoma Research Foundation (MRF) constituents and donors. The Logistics Coordinator will plan, organize and execute all MRF-sponsored fundraising events and programmatic support. The Logistics Coordinator will report to the Chief Development Officer but work with multiple members of the MRF staff including but not limited to: The Miles for Melanoma Manager, Wings of Hope Development Officer, the Director of Education and the CEO. The Logistics Coordinator contributes to the MRF’s organizational effectiveness by meeting goals and budgets, building a consistency of “constituent experience” at all events and optimizing vendor relationships to reduce costs across the organization.
DUTIES AND RESPONSIBILITIES: Indicates the action or outcomes required to fulfil each major responsibility of the position.
Write and solicit RFPs to national vendors to optimize cost/effectiveness across multiple programs.
Coordinate shipping from events to the next destination.
Inventory event supplies.
Solicit and secure vendors for each Miles for Melanoma run/walk including obtaining permits in each respective city.
Work closely with MRF departmental teams to adhere to budget and reconcile the financials after each event.
Advise on a master calendar of events to assist with organizational planning to optimize participation.
Collaborate with departmental teams to develop the “MRF branded” event and ensure consistency amongst all events.
Update and manage all event related websites and software platforms.
Provide on-site logistics support.
KEY RESPONSIBILITES also include:
Organize and execute up to 15 Miles for Melanoma 5K Run/Walk events.
Assist with vendor selection for up to 5 special event galas.
Assist the Education Department with the planning of up to 10 Patient Symposia as budgeted.
Assist with the planning of an advocate Hill Day.
Work with other MRF staff on events as needed.
KNOWLEDGE, SKILLS, AND ABILITIES: Reflects the specific competencies required for job performance.
3-5 years direct experience in event planning and logistics or related experience.
Ability to negotiate contracts.
Experience with Raiser’s Edge and Luminate required.
High attention to detail and the ability to multi-task multiple projects at one time.
Team-player with a positive attitude who is able to effectively work with multiple constituents.
Excellent communication skills.
Outstanding customer service.
Able to travel extensively.
Position is based in Washington, DC office.
4 Year degree required or relevant experience.
