Independently handles assigned Advancement projects providing analysis, research and substantive feedback to support project decisions. Works collaboratively with Advancement staff and staff across the Council on Annual Meeting Sponsorships & Exhibit Booths, Program Sponsorships, Individual Giving (Annual Funds) and Corporate Membership-related projects. Coordinates administrative tasks for the Advancement Office.
Essential Job Duties or Tasks:
Office Management & Administration
Infrequently coordinates scheduling of appointments, and assists with travel and catering arrangements when necessary for the department.
Initiates processing of program and member invoices and working cross functionally, track program and membership payments.
Plays key role with Corporate Membership Program member induction, termination, invoicing, and management of member subscription benefits
Drafts and edits correspondence
Assists with other duties as necessary
Tracks all communications with sponsors and coordinates administrative activities for the Annual Meeting Sponsorship Program
Plays key role in reviewing and brainstorming ways to market sponsorship and exhibition opportunities
Point of contact for customer service related matters for Annual Meeting sponsors, exhibitors, and annual fund donors.
Lead researcher for Annual Meeting prospects
Takes the lead on follow up with prospects to solicit Annual Meeting exhibit booths
Interacts with sponsors to ensure all required documentation is received
Process online (eShow) Annual Meeting payments and refunds for sponsorships and exhibits
Coordinates with Finance to ensure all Annual Meeting payments are processed and conduct post conference follow up for outstanding balances
Plays a key role with on-site Annual Meeting operations to address sponsor and exhibitor needs
Serves as Content Manager for Advancement’s presence on the Annual Meeting website to ensure accuracy.
Manages contacts and data related to contributions in Raiser’s Edge and ART
Updates Raiser’s Edge database with data related to program, Annual Meeting sponsorships/exhibits and Alliance Program membership
Plays a key role in the testing of data and implementation of the new CRM system
Runs queries and reports as necessary
Independently conducts extensive research to identify and qualify corporate entities as viable prospects for Advancement to pursue for funding
Maintains Advancement prospect list according to industry to ensure proper organization
Monitors corporate industry news to remain abreast of trends and potential prospects
Website & Social Media
Serves as the Advancement Content Manager for ACE’s website and updates the Advancement web pages regularly to ensure accuracy
Monitors ACE’s program web pages to ensure proper visibility for sponsors
Creates online forms to streamline membership induction and Annual Meeting sponsorship/exhibit applications and prospectus requests
Coordinates with the ACE web team to design new web pages as necessary
Researches ways to enhance Corporate Membership Program and Annual Meeting sponsorship program benefits through the use of social media
Creates and designs Advancement web pages that are used to provide visibility and recognition for ACE donors such as the Thought Leadership Library web page and those related to the Annual Meeting
Plays a key role in developing guidelines for corporate membership program
Education/Experience/Specialized Knowledge and Competency Requirements:
Bachelor’s degree or equivalent experience required
Minimum of 2 years in Administrative support position.
Excellent communication skills to include written, verbal and interpersonal skills.
Ability to interface well with all departments within ACE in a highly professional manner.
Demonstrated ability to communicate effectively and professionally with ACE staff, directors, and members of the organization and industry vendors.
Proficiency with MS Office products including Word, Excel, Access, PowerPoint and Outlook; experience with a customer relationship management database a plus.
